1. For this exchange, in the interest of keeping our first round as manageable as possible, we'll be limiting the fandoms to Thai, Taiwanese, and Filipino shows. Both BLs and GLs are eligible. If there's another country you’d like included, please let us know and we'll consider it for the next round.
2. All works must be focused on something drawn from one of the nominated shows; crossovers and fusions are welcome, provided at least one of the primary focuses of your work is a character, actor, etc from a nominated show.
3. Size/length requirements: all fic must be at least 1k; vids must be at least 30 seconds; fanart must be complete, no sketches (finished artwork done in a sketch style is fine); all other works must represent an equivalent amount of work (we consider 3-5 hours of labor to be a good yardstick to measure this by).
4. RPF is by request only: if your recipient did not request RPF, please do not gift them it - and on the other hand, if you want RPF, you must specifically request it in order to receive it.
5. Unless otherwise requested, all works must represent both new and complete work; you may not have previously posted your work elsewhere online, and WIPs are not allowed. Posting the next work in a series, a remix of a previous work, or something else along those lines is fine, however.
6. Although it isn’t technically a requirement, we strongly recommend that all works be beta’d. We are happy to help boost any and all beta search posts you tag us in, or if you’d rather the yuletide discord server’s “hippo” anonymous beta search system is open to anyone regardless of their participation in yuletide.
7. All participants must check in with us via email on July 23rd. If you will be unavailable on July 23 or can’t check in via email for some reason, please arrange with us in advance to have your progress check before July 23 or on a different platform. If we have not heard from you by 12pm US Mountain Time on July 25th at the absolute latest, we will assume you have defaulted and will start looking for a pinch hitter.
8. If you think you might not be able to finish on time, please let us know as soon as possible. Please try to be realistic with yourself (and with us!) about whether you will finish; while of course we hope everyone who signs up will create something for the exchange, the more time we can give to pinch hitters, the better. If you default and end up finishing on time anyways, we’re happy for you to submit your work to the collection as a treat - and we’re sure your recipient won’t be upset to receive two gifts!
9. There are no penalties for defaulting if you do so on or by the mandatory July 23 check in, or if you default after the check in and contact us about it before the end of the day on August 5th. We understand that life happens and sometimes these things are unavoidable. If you simply disappear with no word whatsoever, though, we may consider not allowing you to participate in the next round of the exchange (if it continues to run).
10. All works must remain secret until go-live. Sharing your work privately with a friend or beta is fine, but please do not share details about your work on public social media accounts. Do not share the identity of any creators until after reveals. Let people have the fun of the surprise of opening their gift and trying to figure out who made what!
11. All works must be shareable; locked vids must provide passwords, etc.
12. No bashing of other pairings/characters or other participants. We shouldn't have to say this, but play nice. We will not tolerate instances of abusive behavior regarding gender identity or expression, age, ethnicity, language, class, culture, sexual orientation, race, ability, or size.
13. Mods reserve the right to request the addition of warnings. If you choose not to warn for certain elements of your work in the form of tags, we may ask you to include an author's note with warnings instead.
14. While you are welcome to explore difficult topics in your work (particularly if it’s something your recipient has requested), mods may ask that works we feel advocate for exclusive, derogatory, or discriminatory stances and language be altered. We realize there’s a lot of gray area here, so if this does come up we will contact you privately to have a conversation about your goals and intentions for the work and how best to proceed. That said, if the work cannot be altered and/or warned for to both the mod team’s and the creator’s satisfaction, we may decide not to accept the work into the collection. Mods’ decisions on what constitutes advocating for discriminatory stances and whether to accept works into the collection are final.
